Tennis club constitution
1. The tennis club will be called Adastral Park Tennis Club. It will be a club community of Adastral Park Leisure and Sports.
2. Members of Adastral Park Leisure and Sport club may become members of the Adastral Park Tennis Club at no extra cost, by notifying either the Chairman or Secretary of the Tennis Club of their wish to join and by providing their ATLAS membership number.
3. The section's accounts, membership list, and minutes of meetings shall be made available to any principal officer or auditor of Adastral Park Leisure and Sports Club at any time, although reasonable notice of such a request shall be given.
4. The Management Committee of the Adastral Park Leisure and Sports club shall be entitled to call an SGM of the section at any time, at which the Management Committee shall be represented.
5. In the event of the section's funds being in debit by more than 10% of the gross annual cash flow or £10, which ever is greater, a principal officer of the Adastral park Leisure and Sports club shall be notified immediately. The Adastral Park Leisure and Sports club Management Committee may take appropriate action.
6. In the event of the section being unable to continue to function, in the opinion of the General Committee, the membership of the section shall be wound up under the control of the Adastral Park Leisure and Sports and all the assets of that section shall be taken over by the Adastral Park Leisure and Sports Club. However all the assets shall be retained for a minimum of 5 years against the possibility of restarting the section if demand exists.
7. The aims of the club shall be:
i) To foster interest in tennis at Adastral Park;
ii) To organize competitions for members;
iii) To liaise with other clubs with a view to competition;
iv) To safeguard and supervise the facilities;
8. No money will be collected by the Adastral Park Tennis Club for membership or court bookings, but a nominal yearly amount will be provided by ATLAS , to allow the smooth running of the club.
9. An AGM of the club shall be held before March 31st and the agenda will include:
i) Minutes of the last meeting;
ii) Treasurers report;
iii) Chairman's report;
iv) Election of officers: Chairman, Secretary,
Club Captain, Treasurer, Match Secretary;
v) Any rule and/or constitution amendment.
10. The management of the club shall be in the hands of the committee who will produce and administer rules for the use of the facilities.
11. At least 5 days notice of the AGM and EGM shall be given to members.
12. The committee shall have the power to co-opt on to the committee any members they need to ensure the running of the club.
13. The committee shall be able to call an EGM at any time.
14. Any member may ask the secretary to call an EGM providing he has the written support of at least 10 members.
15. A quorum for a committee meeting shall consist of 3 officers.
16. A quorum for an AGM or EGM shall consist of 6 members, but 10 members shall be necessary for any changes in constitution at an EGM.
17. Any disciplinary action taken against a club member shall be at the sole responsibility of the committee. Any appeal can be made at an EGM.
18. Tournaments and competitions shall be run under a set of playing rules to be drawn up by the committee, whose decision in the respect of these rules shall be final.
